Digital Collections Access Coordinator, History Colorado

    DESCRIPTION OF JOB:

    History Colorado has been building and refining The Collection since 1879. The Collection is a tangible point of connection between the present and the past. It reflects who we are and what we value today, and records what will be of interest to Coloradans in the future. The value of The Collection lies in the powerful stories it holds, and in its potential for aiding public awareness and understanding of the state’s history through uses including: research, educational programming, exhibitions, loans, design inspiration and community building. The Collection currently comprises approximately 225,000 artifacts, 1,000,000+ photographs, and 9,000+ linear feet of textual and archival materials.

    As an important part of Collections Access, this position will primarily work with our collections management database and digital collections initiatives so that our digital presence for The Collection aligns with our physical presence and the work we do. The collections management database (Argus.net) currently has almost 1 million records, a publicly accessible portal of over 200,000 records, and an integrated request module. We also heavily rely on various platforms and projects for digital delivery and engagement such as DPLA, crowdsourcing, or Museums for Digital Learning. These multiple digital access mechanisms ensure that collections are intellectually preserved and available to the public for use, including in research, loans, programs, educational activities, and exploration and discovery.

    The ideal candidate should be highly skilled with database administration and digital collections projects that increase access and engagement.

    Duties:

    • Database Administration
      • Ensure that collections data is easily accessible and maintain all database architecture
      • Update public portal including redesign based on user experience/needs, content updates such as specialty curator content or collecting initiatives, service/activities updates, etc.
      • provide consistent review and evaluation of all data processes to ensure the most effective and efficient procedures are in place
      • perform quality control and auditing measures
      • Provide tutorials, guides, and trainings for staff on processes and resources Be the first point of contact for all database work
      • Work to streamline routine processes and best practices with staff to ensure that data requirements are implemented to increase efficiency and improve workflow
      • Work in Crystal Reports to develop reports that meet the evolving needs of departments
    • Digital Initiatives
      • Manage and/or complete collections contributions to digital projects: Museum of Digital Learning, Crowdsourcing Colorado Historical Newspapers Collection, Digital Public Library of America
      • Other digitization access initiatives such as the KKK membership ledgers
      • 3D scanning
      • Ensure workflow efficiency with POS integration
      • Ensure compliance with all legal data requirements such as HB21-1110
    • Data and Digital Preservation
      • Assist with and/or lead efforts in digital asset management Manage reparative descriptive projects for community collections Data cleanup
      • Assist with and/or lead in providing a full range of digital collection management, digital preservation, and digital sustainability services and best practices such as policies, procedures, and trainings
      • Work with other staff to import data Work with volunteers and interns
    • Establish and maintain cross departmental calendar of communications, and manage efforts with departmental staff
    • Work with Volunteers and Interns
    • Conduct and contribute to collections outreach when needed, such as presentations, programs, tours, exhibits, and publications
    • Analytics monitoring and reporting

    MINIMUM QUALIFICATIONS, SUBSTITUTIONS, CONDITIONS OF EMPLOYMENT & APPEAL RIGHTS:

    • Master’s degree in Museum Studies, History, Art History, Library Science (or related degree) with a minimum of 2 years of digital/database experience OR Bachelor’s degree with 3+ years of relevant practical experience
    • Substantial database administrator experience with museum collections databases including data import/exports, complex queries and custom reporting; strong experience with Argus preferred
    • Excellent digital project skills including digitization workflows, asset management, and other digital preservation work and delivery
    • Familiarity with cataloging and the use of controlled vocabularies for collections data; metadata schema for digital assets extremely desirable
    • Knowledge of SQL and Crystal Reports report generation tools preferred Knowledge of or ability to learn Colorado history and history of the American West Ability to work at a computer for long periods of time
    • Sometimes requires lifting heavy objects and working on ladders
    • May require periodic travel by car, van, and truck to storage facilities and museums throughout the state, typically for periods of less than one week in duration
    • May require working weekends or evenings for data work or special programming Work from home options may be available periodically

    Other Knowledge, Skills, and Attributes:

    • Experience in project management, meeting deadlines, and flexible multi-tasking in a fast- paced and changing environment
    • Effective communication, public speaking, and collaboration with other museum staff Knowledge of regulations and requirements for digital accessibility (Section 508, ADA and WCAG 2.1 AA) and experience with creating accessible content and/or alternatives for media content
    • Understanding of current and emerging trends in digital, web, mobile and A/V technologies Ability to work independently and eventually make decisions with or in absence of a supervisor
    • Experience with innovative and/or motivated approaches to collections outreach and providing access to collections
    • Excellent customer service and collections skills with special attention to timeliness and accuracy
    • Strong understanding of typical collections problems, collections and provenance research, and problem-solving skills with collections objects
    • Strong organizational and analytical skills
